Calendar subscriptions

Who this is for: team admin + everyone Applies to: all

What this page covers

A private calendar link that puts your team's events — practices, races, and social events — into Apple Calendar or Google Calendar automatically. Team admins create and revoke the links; anyone who has a link can subscribe. After reading, admins will be able to create and revoke links, and members will be able to add the team's link to their own calendar app.

Before you start

  • To create or revoke a link: you must be a team admin. Open Team Settings and go to the Calendar tab.
  • To subscribe: you only need the link itself — no special role. Any team member can copy the team's link from the app (see the second set of steps below), or a team admin can share it with people outside the app.

Step-by-step (team admin)

  1. Open Team Settings and tap the Calendar tab.
  2. Tap Generate Calendar Link. The optional label helps you tell links apart later (the form suggests labels such as "Google Calendar" or "Coach Johnson").
  3. Tap Generate. The app adds the link to your team's list. You can create several links — for example, one per calendar app or per person — and each is revoked on its own.
  4. Each link's card shows its label (or "Calendar Link" if you gave none), when it was created, an Active or Expired badge, both link forms with copy buttons — HTTPS Link and Webcal Link (for Apple Calendar) — plus its Expires date and the Last used time once someone has subscribed.
  5. Share each link only with the people who should see the team's calendar — anyone with the link can view it.

To stop sharing: find the link's card and tap Revoke. The app asks you to confirm in a Revoke Calendar Link dialog. Revoking stops that link's feed — subscribed calendars stop updating (what happens to the events already downloaded depends on the calendar app). Other links you created keep working, and revoked or expired links stay in the list with their history.

Step-by-step (anyone who wants the calendar)

  1. In the app, open the Events Hub and tap the calendar icon (Subscribe to Calendar). If your team has no link yet, the app asks you to have a team admin set one up in Team Settings.
  2. Copy the calendar link: Copy Link is the phone-friendly form that can open your calendar app directly; Copy HTTPS Link is the version you paste into a calendar app by hand.
  3. In your calendar app, choose to add a calendar by URL:
  4. Apple Calendar: File → New Calendar Subscription, then paste the link.
  5. Google Calendar: Settings → Add calendar → From URL, then paste the link.
  6. Confirm. The team's events appear in your calendar, in the team's own time zone.

What you should see

  • New practices, races, and social events added on the team show up in your subscribed calendar automatically, without re-adding anything.
  • When an event's time or details change, your calendar replaces the old entry instead of showing two copies.
  • If a team admin revokes the link or it expires, the feed stops updating.

Notes and limits

  • The link is a calendar subscription: your calendar app refreshes it on its own schedule, so changes are not instant.
  • Every link expires one year (365 days) after it is created. The card shows the exact date. There is no expiry choice when you create a link — when the old link expires, generate a new one and share that.
  • The feed includes past events from the last 30 days. The app does not offer a setting to change that window.
  • Treat the link like a private password — anyone who has it can see the team's events. To take access away, the admin revokes the link and shares a new one.
