What this page covers

This is the Groupset dictionary. When you see a word you don't recognize anywhere in this wiki — in the app, in a message from a coach, or on another page here — look it up below. Each entry says what the term means in plain English and who usually needs to care about it. Terms are grouped by topic. Where two words mean the same thing, both are listed.

For a full explanation of the big ideas (like the readiness ladder or payment statuses), see concepts.md. For who can do what on a team, see roles-and-permissions.md.

People & roles

Term What it means Who it matters to
Account Your Groupset login (email + password). One person, one account. Everyone
Admin (team admin) The person who runs a team: manages the roster, sets fees, reviews coaches' reports and requests, controls settings. Team admins; everyone else deals with them
Owner A team leader with exactly the same powers as a team admin. Teams have an owner, an admin, or both. Team admins, owners
Coach A team member who leads the practices and events the team admin schedules, takes attendance, and files reports. Coaches
Coach promotion request A parent's request to become a coach, sent from their own profile. A team admin reviews it and approves or denies it — checking the self-reported NICA license by hand — and approval adds the parent as a coach with a training group. Also called a "coach request" or "coach petition". Parents (send them), team admins (review them)
NICA Pit Zone The league's separate licensing website where coach certifications and their expiration dates live. Team admins check a coach promotion request against it before approving. Not the same thing as the pit zone at practice. Coaches, team admins
Athlete A rider on a team. Athletes have their practice attendance taken by a coach or team admin, RSVP to social events, sync their rides, and view their own performance. Athletes
Parent A guardian linked to one or more athletes. Parents pay fees, manage consents, and view their children's information. Parents
Co-parent Another parent or guardian invited to help manage a child. Co-parents see and manage the same child's information. Parents
Registration The process of adding an athlete to a team, done by a parent through a guided, step-by-step flow in the app. Parents
Emergency contact A person to reach in an emergency, saved on an athlete's record. Parents, team admins, coaches
Consent (consent form) A signed agreement stored with an athlete's record. There are three types: team policies, a liability waiver, and a photo release. Parents (sign them and manage their child's), team admins (set the team's wording)
License level A NICA coaching certification (Level 1, 2, or 3) recorded on a coach's profile, together with its expiration date. Some coach features need a minimum level — for example, viewing athlete medical information needs Level 2 or higher. The performance dashboard is open to every assigned coach at any level. Team admins verify a coach's license by hand. Coaches
NICA The National Interscholastic Cycling Association — the organization that governs high-school mountain-bike leagues and certifies coaches. Everyone

Teams & structure

Term What it means Who it matters to
Team A roster of athletes, coaches, and parents with its own schedule, fees, and settings. Everyone
Organization The umbrella that owns one or more teams (for example, a school district or a club). Team admins; coaches and parents in multi-team orgs
Group (training group) A smaller sub-team (for example by skill or age) that athletes and coaches belong to. Not the same thing as the Group tab — the coach's bottom tab in the app. Everyone
Group tab The bottom tab labelled Group that coaches see. It holds their coaching home base: the next practice (with attendance and directions), the athletes list, Coach actions (the weekly to-dos), Celebrations, and Volunteers. A dot on the tab means there is something new. Coaches
Practice template A saved, reusable set of practice details (name, description, usual duration, location, and map coordinates) that a team admin can apply when scheduling a practice. Team admins
Roster The team's full people list: athletes, coaches, parents. Team admins, coaches
Inactive member A team member hidden from the active roster and check-in lists without deleting their account; a team admin can make them active again. It never blocks sign-in. Team admins

Events, attendance & readiness

Term What it means Who it matters to
Event A scheduled activity. Every practice, race, and social event is an event, and all appear in the same events list. Everyone
Race An event with timing and results (see "Event"). Everyone
Social event A non-riding team gathering (team dinner, meeting) with its own RSVP list. Everyone
RSVP Your reply to an invitation: Going / Not going / Maybe. Everyone
Calendar subscription A private link you can add to Apple Calendar or Google Calendar so team events appear there automatically. Everyone who wants events on their own calendar
Webcal link The phone-friendly form of a calendar subscription link (shown as Webcal Link (for Apple Calendar) on the team's link card, or Copy Link when you subscribe) — it can open your calendar app directly, unlike the HTTPS Link form you paste in by hand. Everyone who wants events on their own calendar
Attendance The record of whether someone checked in to (and out of) a practice or race. Everyone
Check-in / check-out Being marked present at an event when it starts, and marked out when it ends — by a coach or team admin. Parents can check their own athlete in and out on race day. Athletes never check themselves in. Parents (race day), coaches, team admins
Attendance streak A run of consecutive attended practices shown in your profile; only practices that have already happened count, and milestones are celebrated in the activity feed. Athletes, parents, coaches
Attendance-required grades A team setting that can exempt younger grades (for example grades 7–8) from attendance follow-ups. Those athletes still appear in attendance reports and the streak heat map, but Coach insights won't create "reach out" actions about their attendance. Coaches, team admins, parents
Streak Short for "attendance streak" — see above. Athletes, parents, coaches
Streak heat map A grid in the coach insights report with one circle per athlete; the longer the athlete's current attendance streak, the darker the circle. Tap a circle to open that athlete's page. Coaches
Pit zone A staging area at practice. A team admin "invites" an athlete to it once the athlete's team fee is paid. (Not the same thing as NICA Pit Zone, the league's coach-licensing website.) Athletes, parents, coaches, team admins
Readiness ladder The two-step process an athlete moves through before practice: the pit-zone invite first, then the practice-ready flag. Athletes, parents, coaches, team admins
Practice-ready A flag a team admin sets meaning the athlete is cleared to ride. It is set after the pit-zone invite. Athletes, coaches, team admins
Geofence The invisible circle around an event's location, shown on the event's map for check-in context (it is not currently a hard block on who can check in). Athletes, coaches, team admins, parents
Registration window The period during which a team is accepting new members. Parents, team admins

Payments

Term What it means Who it matters to
Payment Money paid — or owed — for a team fee or a registration. Parents, team admins
Team fee The amount families pay for the season, set by the team admin. Parents, team admins
Pending payment A fee your family still owes — it hasn't been paid yet. Parents
Partially paid A payment status where only part of the fee has been covered; the rest is still owed. Parents, team admins
Payment reminder A nudge the app sends when a team fee is still unpaid. Parents
Promo code A discount code (percent or dollar off) applied to a team fee. Parents (use them), team admins (create them)
Platform fee A per-athlete fee the Groupset service keeps from each payment to run the app — by default $20 per athlete, with younger grades exempt when the team's fee setup says so. It comes out of what the team receives, not on top of what families pay. The app's fee screen has no control for the platform-fee amount or its exemption — if your team needs different terms, contact support. Parents, team admins
Fee schedule A table of fee amounts that differ by grade, used instead of one flat team fee. Each row in the table is called a fee tier. Team admins (set them), parents (pay them)
Fee tier One grade-range row in a grade-based fee schedule — for example, grades 6–8 at $150. Team admins add, edit, and switch tiers on and off in the fee schedule editor. Team admins (set them), parents (pay them)
Receipt The payment confirmation you get after a payment succeeds. Parents
Payment sheet / payment page Where you actually pay. On a phone it appears as a card-entry sheet that slides up over the screen; on a computer Groupset takes you to a secure payment page and brings you back when you're done. Parents
Payment provider The secure outside company that processes card payments when a family pays a fee (Groupset does not hold or see the money itself). Parents, team admins
Processing fee The payment provider's own charge for handling a card payment (estimated at about 2.9% of the payment plus 30 cents). It's separate from the platform fee, and both come out of what the team receives — they are not added on top of the family's total. Parents, team admins
Payout account The team's own account with the payment provider where registration payments are delivered. The team connects it during onboarding and manages bank details and withdrawals through the payment provider, not inside the app. Team admins
Payout account readiness A team's payout account counts as fully ready only when both Charges Enabled and Payouts Enabled are turned on. Until then, the team can't collect fees, even if a fee is set. Team admins

Chat, announcements & notifications

Term What it means Who it matters to
Channel A chat room inside team chat. Every team automatically gets a main team channel, plus channels for training groups, for a whole role (like coaches), for the whole organization, and for quick one-off chats. Everyone
Organization-wide channel A chat room that reaches every team in the organization, not just your team. Everyone in a multi-team organization
All-athlete channel A chat channel whose other members are all athletes. Athletes can't post there — the block is about who belongs to the channel, not who is online. In an organization-wide channel, at least one other member must be a coach, team admin, or owner. Everyone
Thread A focused chat conversation that replies to one specific message. Everyone
Mention Tagging someone or a whole role (for example "@coaches") in a chat message so they get notified. Everyone
Block (chat) A personal chat setting, not a team-admin tool: after you block someone, their messages no longer appear to you and you stop getting alerts about them — a block hides everything from that person (messages, mentions, and alerts), not just direct messages. Whether the other person also stops seeing your messages and alerts is still being confirmed, and the app gives you no sign either way. Everyone
Announcement A broadcast message a team admin sends to everyone on the team (for example, schedule changes or reminders). Everyone (receives them)
Emergency message A high-priority alert for urgent situations, sent so it gets attention right away. Everyone
Emergency channels The team's designated channels (for example, the main team channel) used for urgent, time-sensitive messages. Team admins (set them), everyone (receive them)
Default audience The set of members a new announcement is sent to by default, chosen by the team admin. Team admins
Default channels The ways a team's announcements reach people by default (push, email, text message, in-app), chosen by the team admin. Team admins
Ad-hoc channel A quick, one-off chat room a team admin starts as needed, outside the standard team/group/role channels. One-off rooms are grouped under the Conversations heading in the channel list. Everyone
Conversations The section of the channel list that holds small one-off channels, including one-to-one conversations. They use the same membership, unread, and notification rules as any other channel. Everyone
Leader default (chat alerts) Owners, team admins, and coaches who haven't set their own per-channel bell are treated as All messages by default; everyone else defaults to Mentions only. You can always change your own setting. Everyone
Mute (chat) Two different things share this name: (1) you can mute a channel yourself — turning off its notifications while staying a member; (2) a team admin can mute a member of a channel, which stops that member posting there (they can still read) until the mute ends. Everyone
Archived channel A closed chat room. It stays readable for history, but no new messages can be sent in it. Everyone
Quiet hours A window of time you choose when notifications are held back (for example, overnight). Everyone
Badge (unread) The small number or dot on an app icon or a chat channel that shows how many new, unread items are waiting. Everyone
Notification center The in-app list of your notifications: mentions, announcements, results, and so on. Everyone
Push notification An alert that appears on your phone or computer even when the app is closed. Everyone
Quiet delivery (iPhone) An iPhone notification setting where an app's alerts arrive without a banner or sound — they land in the Notification Center only. iOS can set this from the very first notification prompt and never asks again; Groupset shows a one-time tip pointing you to the phone's settings when it happens. Everyone (iPhone)

Rides & performance

Term What it means Who it matters to
Strava The ride-tracking app Groupset connects to; your Strava rides sync in automatically. Athletes, parents
Activity feed (feed) The "what happened" list on the home screen: rides, streaks, personal records, season bests, announcements, and volunteer requests. Everyone

Time trial A timed practice segment, set up by a coach, that lets riders compare their times. Athletes, coaches
Time Trial Efforts The panel on an athlete's page listing their best time on each time-trial segment for the season. It opens from a climb or descent time on the Group Skills card or from a rider's dot on a Segment Performance chart, and always shows season bests — the caption reminds you that the Group Skills card uses the reporting window you picked. Athletes, parents, coaches
PR / personal record An athlete's best time on a time-trial segment. Athletes, parents, coaches
Season best An athlete's fastest time on a timed segment so far this season. Athletes, parents, coaches
Goal category The athlete's personal goal for the season, chosen from one of a few set categories (for example, a target event or time). The athlete can edit it from their profile. Athletes (set them), coaches (see them)
Season objective Another name for "goal category" — see above. Athletes, coaches
Percentile Where an athlete ranks compared to their group (for example, 80th percentile = faster than 80% of peers). Athletes, parents, coaches
Median The middle value — on the performance dashboard, the middle rider of the group for that measure (for example, the group's median rides or climb time). Each rider's difference from the median is shown as a gap percentage. Coaches, athletes
Reporting window The date range a performance card or report covers, chosen from the dashboard's filter line. A Coach insights action opens the dashboard with its own 28-day insight window pinned until you change it. Coaches
Volume band (compared to teammates) The shaded band comparing a rider's weekly training load with teammates at a similar level. The same colors appear on the coach dashboard's group volume card and in the coach insights report. Coaches

Division A broad grouping of riders that a race's categories fit within (for example, a school-year or skill grouping). Athletes, parents, coaches
Result (race result) An athlete's place or time in a race category, imported live on race day. Everyone
On course A rider still out on the race course — their row shows without a final placing yet. One of the race statuses: Finished / on course / DNF (did not finish) / DNS (did not start) / DSQ (disqualified) / Provisional (not yet final). Athletes, parents, coaches
"Results may be outdated" banner The banner on a race's Results tab when a refresh fails: the last good results stay on screen and are flagged instead of a frozen list that looks live. Tapping the banner retries. Everyone
Timing system The equipment or service that records race finish times on race day; results flow from it into Groupset automatically. Athletes, parents, coaches
Manually logged activity A ride an athlete adds by hand in the app instead of syncing from Strava (also called a "manual log"). Athletes
Ride streams The GPS breadcrumbs a ride records. The app uses them to draw your route on a map and to check your ride against coach-set timed segments. Athletes, coaches
Saddle-time Time spent riding; shown as a card in personal performance. Athletes, parents, coaches
FTP Functional Threshold Power — the power you can roughly hold for an hour. Groupset estimates it as about 95% of your best 20-minute power. Athletes, coaches

Dot plot A small chart in segment views showing where every rider's time falls on the segment, ordered fastest first. Coaches
Group Volume The performance dashboard card comparing each rider's weekly rides and miles with the group median; riders 20% or more above the median get an overload mark. Coaches
Group Skills The performance dashboard card comparing each rider's best time-trial climb and descent times with the group medians; tapping a time opens that rider's Time Trial Efforts. Coaches
Segment Performance The performance dashboard card showing each timed segment as a dot plot with riders' percentile ranks. Coaches

Volunteering

Term What it means Who it matters to
Volunteer opportunity A job a team admin posts for volunteers: a timed shift with a number of slots, or a one-task quantity assignment (for example "bring 40 cookies"). May be attached to an event or standalone. Everyone
Needed by An optional date and time a team admin sets on a volunteer item (a quantity assignment — for example, "10 energy gels needed by Friday 5 pm"). Families see the deadline on the signup card, and reminders are scheduled against it. If the event is moved, the deadline is recalculated automatically so it stays correct. Team admins (set it), everyone (sees it)
Credit hours The volunteer time recorded for you when you check out of a shift (or confirm it after the fact). Hours add up per team, per season. Everyone
Milestone badge A once-only reward for reaching a season volunteer-hour total: Bronze 3, Silver 5, Gold 10, Platinum 15, Diamond 20 hours. Everyone
Family target The volunteer-hours goal a team admin sets for each family for the season. Parents see their progress on the dashboard. Parents, team admins
Season target Another name for the family target — the team's season volunteer-hours goal (for example, "fall-2026"). Parents, team admins
Household The family group whose volunteer hours and upcoming volunteer slots appear on the Family tab. With two linked parents, each sees the shared athlete counted in their own family's progress. Parents

Nudge A fill request a team admin sends to members who haven't signed up for a volunteer opportunity. Everyone (receives them)

Coaching & reports

Term What it means Who it matters to
Coach insights The nightly briefing for coaches. It summarizes each group's attention items (the numbered "Weekly Actions"), skills, celebrations, and race context, and includes the streak heat map. Coaches
Training-load check The weekly spike check behind a Volume check action in Coach insights: it compares a rider's last seven days with their own recent normal weeks and only flags a genuine jump above their usual riding — a rider coming back from a break isn't flagged just for resuming. Coaches
Weekly Actions The numbered to-do list a coach gets each week from Coach Insights, worked from the Group tab. Each action is a plain request — for example, reach out to a rider, skill work, a volume check or volume conversation, a Strava nudge, or a celebrate — and tapping one opens the screen where you do it. Coaches
Linked parents The card on an athlete's Profile tab that shows the parents or guardians linked to that athlete, with their contact details. A "reach out" action opens the athlete's page right at this card. Coaches, team admins, parents
Coach note A private, timestamped note a coach writes about an athlete. Only coaches and team admins see it. Coaches, team admins
Group change request (GCR) A coach's formal request to move an athlete to a different training group, reviewed by the team admin. Team admins can file one for any athlete too. Coaches, team admins
Percentile preview The numbers shown on a group change request: the athlete's uphill and downhill rank against their current group, and a projected placement against the target group. Coaches, team admins
Incident report (IAI) A coach's record of an injury or accident at practice or a race. Coaches and team admins only. Coaches, team admins
Incident severity How serious an incident report is, in three levels: minor — noted, time lost, or emergency care. The written description is required for emergency care (and on legacy time lost reports you're editing). Coaches, team admins

Notes and limits

  • The glossary is kept deliberately short: one meaning per term. If a term ever needs more detail, it lives on its concept page rather than here.
  • Where two words describe the same thing, the shorter entry points to the main one (see "Streak" and "Manually logged activity").
