Team passcode and joining

Who this is for: team admin Applies to: all

What this page covers

The passcode people use to join your team — what it is, how to set or change it, and the rules that apply when someone joins (who becomes the admin, and what coaches need). After reading you'll be able to set the code you give to new members and explain what happens when they use it.

Before you start

  • You must be a team admin on the team to change its passcode (an owner has exactly the same powers).
  • A team created when you first signed up starts with a temporary placeholder passcode — set your own before telling people how to join.
  • If you change the passcode, tell your members — the old code stops working immediately.

Step-by-step

  1. Open Team Settings and go to the General tab.
  2. Tap Set Team Passcode.
  3. Enter the new Team Passcode — or leave the field blank to remove the passcode requirement entirely. The dialog explains: "Set a passcode that members will need to join your team. Leave blank to remove the passcode requirement."
  4. Save. The saved passcode is the one you give to people who want to join.

What you should see

  • The app confirms the team passcode was updated, and the old one (if any) no longer works.
  • When a person opens the team list in the app, they can find your team, tap it, and enter the passcode you gave them to join.

How joining works

  • The first member becomes the team admin. The very first person to join a team that has no members yet is automatically made the team's admin.
  • Coaches need a current NICA license. Joining a team as a coach requires a valid, unexpired NICA license on the person's account. Without one — or with an expired one — the app blocks the join.
  • One person can hold more than one role on a team. For example, a parent who also coaches can carry both roles on the same team. Joining again to add a role skips the role the person already has.

Notes and limits

  • The passcode belongs to the team: each team has its own, and only team admins can set or change it.
  • Passcodes are not case-sensitive — people can type your code in any mix of capital and small letters and it will work.
  • You can run a team without a passcode. Leaving the field blank removes the requirement; people who find your team in the list can then join without typing a code. Add a passcode back if that isn't what you want.
  • A team can belong to an organization that has several teams — joining works the same for each.
