Invites and registration

Who this is for: parents and athletes Applies to: all

What this page covers

What to do when an athlete's invite link has expired, when a co-parent's invite link has expired, when you can't finish registering an athlete, and when a parent who isn't on the team tries to register.

Common problems

Symptom: The athlete clicks the link in the email that invites them to create their own login, and the app says the link has expired.

Likely cause: These invite links are only valid for 48 hours after they're sent.

What to do:

  1. Ask the parent who registered the athlete to send a fresh link — a parent can re-send the invite from the athlete's profile in the app.
  2. The parent can also enable the athlete's login later, even after registration, which sends a new invite.
  3. The athlete opens the new link and finishes creating their account.

Expired invite link screen An expired sign-up link — the athlete needs a fresh invitation.

A note on repeated tries: if the link is opened and fails several times in a row (roughly ten attempts), it stops working entirely — even if the address was only mistyped once or twice. Ask for a fresh link rather than retrying.

Symptom: The other parent or guardian taps the link inviting them to help manage a child, and the app says the link has expired.

Likely cause: Co-parent invites use links that are only valid for 48 hours after they're sent — the same as athlete sign-up links.

What to do: Ask the parent who sent the invite to send it again from the child's page, then open the new link within 48 hours.

Registration won't complete because the team's registration window is closed

Symptom: During registration the app says the team isn't accepting new athletes right now.

Likely cause: Each team sets a registration window — a period when new athletes can be added. Outside that window, registration is turned off.

What to do: Contact the team admin and ask when registration reopens, or whether they can add the athlete another way.

Registration won't complete because the athlete's grade isn't accepted

Symptom: The app says the athlete's grade isn't allowed for this team.

Likely cause: Teams restrict registration to specific grades (for example, certain fee schedules or grade ranges).

What to do:

  1. Double-check the grade you entered on the first step.
  2. If the grade is correct, ask the team admin whether an exception is possible.

Registration won't complete — required information is missing

Symptom: The app won't let you move to the next step, or the Submit button stays greyed out.

Likely cause: One of the five steps isn't complete. The usual blockers:

  • Emergency contact: at least one emergency contact is required, and each one needs a name, a relationship, and a phone number.
  • Consents: all three agreement boxes in the Consent & Agreements step (policies, waiver, photo release) must be ticked before you can submit.

What to do:

  1. Go back through the steps in order: Team & Athlete Info, Experience & Photo, Medical Info & Contacts, Consent & Agreements, Review & Submit.
  2. Look for fields the app flags as incomplete or incorrect and fix them — the emergency contact and the three consent boxes are the most common.
  3. The app only lets you continue once a step is complete.

A parent tries to register but isn't a member of the team

Symptom: A parent opens registration for a team and gets an error, or registration doesn't start.

Likely cause: To register an athlete on a team, you must first be a member of that team yourself, linked as a parent.

What to do:

  1. Join the team first — use the join link or passcode your team admin gave you.
  2. Or ask the team admin to add you to the team.
  3. Once you're a member, try registering the athlete again.

Notes and limits

  • If the athlete already has an account, the parent's invite email says "you've been added to the team" instead of asking them to create a login.
  • Athletes without their own login are managed by their parent: the parent signs the consents and keeps the profile up to date.
