Team fees

Who this is for: team admin Applies to: all

What this page covers

How to set what families pay for the season: either one flat team fee for everyone, or a grade-based fee schedule with different amounts for different grades. You'll also learn about the per-athlete platform fee and why fees cannot actually be charged until your payment account is connected.

Before you start

  • You must be a team admin on the team (an owner has exactly the same powers).
  • The fee editor lives in Team Settings on the Fee Config tab.
  • Decide which approach you want:
  • Flat fee — one amount and a short description for everyone, or
  • Fee schedule — different amounts by grade, from Kindergarten through grade 12.
  • Have the amounts ready. An amount can be up to $99,999.99.

Step-by-step

Set a flat fee

  1. Open Team Settings and tap the Fee Config tab.
  2. Leave Use Grade-Based Fees turned off.
  3. Enter the Fee Amount ($) and a Fee Description (what the fee covers). If you leave the description empty, the app uses a standard description naming your team.
  4. Turn the Fee Enabled switch on when you are ready for the fee to apply.
  5. Tap Save Fee Configuration.

Set a grade-based fee schedule

  1. On the Fee Config tab, turn on Use Grade-Based Fees.
  2. Open the fee schedule editor and add a tier for each grade range: choose the Grade Range (its lowest and highest grade, Kindergarten through 12), enter the Fee Amount, and optionally a Label (for example, "Elementary" or "Middle School") and a Description. The app shows ranges like "K-5" or "6-8".
  3. Save. The app rejects grade ranges that overlap another active range — every grade must belong to at most one price. A tier can be switched off without deleting it.
  4. To control which grades may register, open the Registration tab in Team Settings. Turn on Restrict Registration by Grade and pick a Minimum Grade and Maximum Grade, or, when you have a fee schedule, tick Use Fee Schedule Grades to use the schedule's own ranges for registration.

The platform fee

  • A platform fee per athlete is retained by Groupset from each payment, so it comes out of what the team receives — it is not added to what the family pays. The default is $20 per athlete, and younger grades can be exempt when a minimum grade is set. The fee screen in the app does not include a control for the platform-fee amount or its exemption grade; if your team needs different terms, contact support.

What you should see

  • The fee configuration screen shows the saved flat fee or the complete schedule.
  • Families see the correct amount when they register an athlete or pay a pending payment.
  • With a fee schedule in use for registration, registration only accepts grades that have a price on the schedule.

Notes and limits

  • Only the flat fee or the fee schedule applies at a time — when the fee schedule is in use, registration prices the athlete from the matching schedule tier instead of the flat amount. If no tier matches an athlete's grade, registration falls back to the flat fee.
  • If you set neither a schedule nor a grade limit, registration accepts all grades from Kindergarten through grade 12.
  • Important: setting a fee is not enough to start collecting money. Until the team's payment account is connected, charges cannot go through — families who register are not asked to pay until it is connected. See Connect your payment account.
  • The platform fee is separate from the payment provider's processing charge and from what the family pays. Both the processing fee (estimated at about 2.9% of the payment plus 30 cents) and the platform fee come out of what the team receives — they are not added on top of the family's total.
  • Open question: if you change the team fee after families have registered, it isn't guaranteed that already-registered athletes automatically get a fee record at the new amount — the behavior isn't clear-cut. Don't assume a change applies to existing families; confirm before you rely on it.
  • Open question: the source does not say whether families are told about the platform fee or whether the amount appears on their receipt.
